SPECIFIC PRIVACY STATEMENT

For processing of personal data related to

the ECHA-term portal

ECHA-term is a source of reliable, coherent and up-to-date multilingual terminology in the chemical field. It aims to improve the quality of translations and to enhance clear communication.  The database includes a variety of information, such as definitions, notes, contexts, related terms, documents etc. The database caters for the needs of various users: REACH and CLP stakeholders, national authorities, translators, interpreters, the general public and ECHA.

ECHA-term is processing personal data. To this end, it shall be compliant with the provisions of Regulation (EC) n° 45/2001 of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data.

What is the purpose of the personal data collection?

ECHA-term is open to the general public for consultation without the need of registering. 

ECHA may decide to provide individual users with the possibility to add data to ECHA-term or modify existing data. The proper management of the database requires the storage of personal data in these cases as a user ID is referenced in individual terminological entries; it also permits to contact users if necessary.

What personal data is collected?

The personal data processed is the e-mail address and the type of organization the user works for.

Who has access to your personal data and to whom is it disclosed?

Staff members of ECHA  who have been granted Administrator status have access to data. The information is also accessible to the IT staff in charge of the technical maintenance of the system. The data are not disclosed nor transferred to third parties.

How long are your personal data kept?

The information is kept for the lifecycle of the database.

Who is concerned?

The users of the system.

How are your personal data protected?

The ECHA-term database is hosted by the European Chemicals Agency of the EU. It is protected by the IT security measures implemented by the Agency that ensure an adequate security level as concerns threats to electronic assets integrity, confidentiality and availability.

Who is the Data Controller?

The Data Controller is the ECHA-term Product Manager who can be contacted via the e-mail address echatransl@echa.europa.eu.

Lawfulness of processing:

In line with EEC Council Regulation No 1, the language services of the EU support multilingualism in the European Union by providing the translation services and linguistic advice for its written communication in all official languages, thereby bringing the Union's policies closer to its citizens and promoting its legitimacy, transparency and efficiency. ECHA contributes to this policy.  The processing operations are necessary and lawful according to Article 5 (a) of Regulation (EC) 45/2001. They do not fall under Article 20 and 27 of the Regulation.  

The data subject's rights:

Registered users have the right to access and update or correct their data. Users should address their request for modification to the ECHA-term Product Manager (echatransl@echa.europa.eu)

They can exercise these rights by addressing the Controller (for the identity of the Controller see above) or ECHA's Data Protection Officer (data-protection-officer@echa.europa.eu)

Users and experts are also entitled to have recourse at any time to the European Data Protection Supervisor (http://www.edps.europa.eu).
